Job Description for IHEA Assistant
Help with creation and distribution of IHEA's unique and award-winning publications, including:
- Assessment of the needs and wants of immigrant communities
- Research data collection
- Writing and evaluation of English texts
- Working with publication editors, including helping with simplifying English texts
- Working with translators and helping with evaluation of the translations through focus groups and interviews
- Communicating with and overseeing work of graphic artists
Work on IHEA's training work, including:
- Working on the logistics of training sessions with nurses and health educators
- Communicating with and building relationships with community workers and others who work with immigrant groups
Fundraising-related work, including:
- Arranging fundraising bazaars, including the decoration, invitation lists, the food
- Helping with the logistics of expanding membership
IHEA Events
- Help with setup of IHEA's displays at conferences and other events
- Facilitating executive director's speaking engagements
- Gather and report feedback received at events
- Update IHEA's contacts database where appropriate
- Follow-up with inquiries
Office Work
- Receiving, answering and forwarding phone calls, voicemail, faxes and email
- Edit and improve communication documents written by others, or where applicable, take over letter-writing responsibilities
- Familiarity with typical office productivity tools, such as Microsoft Word, Excel, running on Windows XP
- Experience with Internet-based communication tools, such as networking and Voice Over IP--not a requirement, but a plus
- Ability to use and troubleshoot online productivity tools, such as Gmail, Yahoo Mail
- Accept responsibility for the accuracy of IHEA's contacts database (currently maintained in Gmail) and creation of related material, such as address labels via Microsoft Office Mail Merge
- Ability to patiently tutor the less gifted in above matters, or, where applicable, take over responsibility for technical issues too cumbersome for others
- Store and creatively reuse documents (a major efficiency issue at IHEA is having to repeatedly recreate similar documents because of a lack of a file storage policy and a good understanding of the potential of digital media. For example, this is at least the third time this job description is being created from scratch!)
- Accept responsibility for health and security of computer workstations, including maintenance of computer policy materials, passwords, updating of virus and backup software
IHEA.info Website
- Accept responsibility for the accuracy of the contents of IHEA.info website, including publication pages. This includes hunting for and correcting missing content, grammatical mistakes and typos, and, where applicable, improving the language and information depth
- Handle Web-related inquiries, answering or forwarding user questions and requests
- Document technical problems and forward them to appropriate volunteers, such IHEA's web developer or graphic artist responsible for pdf files
- Forward Web orders to IHEA’s printer
